Key Duties and Responsibilities (Job Description)
The Examinations Officer will be responsible for the planning, coordination, implementation, and monitoring of university examination processes to ensure operational excellence and regulatory compliance.
Examination Administration & Policy Development
- Develop, review, and update examination policies, regulations, standard operating procedures (SOPs), and academic examination frameworks in alignment with the University Strategic Plan and global best practices.
- Liaise with Examination Boards on matters relating to examinations policy, implementation, and academic compliance.
- Provide guidance on interpreting academic regulations to the Senate Executive Committee, Faculty Board of Examiners, and Departmental Board of Examiners.
- Coordinate secure systems for examination entries, student result processing, and certificate issuance.
Academic Records & Certification
- Oversee the procurement, processing, and issuance of degree certificates for graduating students and associate colleges.
- Ensure accurate recording and secure maintenance of academic examination records.
- Maintain quality assurance standards for all examination-related documentation.
Examination Coordination & Timetabling
- Coordinate the drafting, review, and publication of semester/block examination timetables.
- Liaise with Department Chairpersons regarding examination policies and procedures.
- Ensure smooth administration of examination schedules across departments and faculties.

Examination Security & Compliance
- Coordinate the secure printing, storage, receipt, and handling of examination papers.

- Perform any other duties assigned by the Deputy Registrar – Academic Affairs.
Education Requirements
To qualify for this role, applicants must possess:
Required Qualifications
- A Master’s Degree in:
- Administration
- Management
- Or a related discipline
- A relevant Bachelor’s Degree from a recognized institution.

- Advanced knowledge of databases and academic information systems.
