Job Description

The Hospital Administrative Officer will support the operational and administrative management of departments at Mpilo Central Hospital. The role requires strong coordination, documentation, and organizational abilities to ensure that hospital services operate smoothly and efficiently.

The successful candidate will work closely with hospital management, medical staff, and support teams to manage records, coordinate schedules, oversee administrative workflows, and assist in implementing hospital policies and compliance standards. This position is essential to maintaining efficient patient services, administrative accuracy, and regulatory compliance in a busy tertiary healthcare environment.

Key Responsibilities

Manage and coordinate daily hospital administrative operations and office activities.

Maintain accurate patient records, administrative files, and hospital documentation systems.

Coordinate communication between hospital departments, medical staff, and management teams.

Prepare administrative reports, operational summaries, and official correspondence for hospital leadership.

Assist in implementing hospital policies, regulatory compliance procedures, and quality assurance programs.

Support human resource administration, including staff records, attendance monitoring, and onboarding documentation.

Oversee procurement coordination for office supplies and administrative resources.

Assist with budgeting support, expenditure monitoring, and departmental reporting.

Schedule meetings, coordinate appointments, and organize hospital administrative events.

Ensure confidentiality and secure management of patient information and hospital records.

Required Qualifications

Bachelor’s degree in Healthcare Administration, Business Administration, Public Administration, or related field.

3–5 years of experience in hospital administration, healthcare management, or office administration.

Knowledge of hospital management systems, records management, and healthcare policies.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and digital record systems.

Strong organizational, communication, and multitasking skills.

Ability to work in a fast-paced healthcare environment and collaborate with multidisciplinary teams.
